Stock Returns, Quality RMA’s, Rework Procedures

These procedures outline the process for returning products to Magnaloy Coupling Company and are incorporated by reference into our Terms and Conditions. All returns require a valid Return Material Authorization (RMA) issued by Magnaloy prior to shipment. Returns received without an RMA will not be processed and may be returned to the customer at their expense.

  1. How to Initiate a Return or RMA

To begin the return process, contact your assigned customer service representative. If you do not have an assigned representative, call our Customer Service Department at 989-356-2186 or email sales@magnaloy.com.

You must provide the following information:

  • The original purchase order (PO) number
  • The part number(s) you wish to return
  • The quantity of each part number
  • A description of the reason for the return (for Quality RMAs, include supporting details and photos when applicable)

Magnaloy will review your request and, if approved, issue an RMA number. A copy of the RMA paperwork must accompany the returned shipment. All returns must be shipped to the address specified on the RMA.

  1. Stock Returns (New Old Stock / Non-Quality Related Returns)

This policy applies to unused products in new condition (“stock returns”).

Eligibility Requirements:

  • Products must be in their original, unopened packaging
  • Products must be unused and in resaleable condition
  • Returns must be initiated within one (1) year of the original purchase date
  • Special-order or non-stock items are not eligible for return

Terms and Conditions for Stock Returns:

  • All shipping costs are the customer’s responsibility.
  • A minimum 25% restocking fee will be applied to the original purchase price.
  • All returned products are subject to inspection upon receipt by Magnaloy. If the products are damaged, opened, or otherwise not in resaleable condition, the restocking fee may be increased, or the return may be rejected at Magnaloy’s sole discretion.
  • If the return is rejected or additional fees apply, you will be notified and given the option to:
    • Have the product returned to you at your expense,
    • Have it scrapped, or
    • Accept the additional charges.
  • If the products are accepted in good condition, we will issue a credit to your account for the original purchase price minus the applicable restocking fee and close the RMA.
  1. Quality RMA Returns (Magnaloy Responsibility)

This policy applies when the issue is directly attributable to Magnaloy (e.g., manufacturing defect, dimensional error, print error, improper packaging, order entry error, or shipping error by Magnaloy).

Terms and Conditions for Quality RMAs:

  • Magnaloy will cover standard return shipping costs; however, we reserve the right to specify the carrier and shipping method. Next Day Air (NDA) shipping is never covered at our expense unless the original order was also shipped via NDA and the error is solely ours.
  • For Less-Than-Truckload (LTL) shipments, Magnaloy will request the weight and dimensions of the skids/pallets. We will then arrange the carrier and provide you with shipping details and pick-up instructions.
  • All returned products will be inspected upon receipt. If Magnaloy’ s responsibility is confirmed, you will receive full credit for the original value of the affected parts (or replacement parts at no additional cost, if requested).
  • If replacement parts are required, please place a separate order while the RMA process is underway.
  • Important: The returned products must be received by Magnaloy within 30 days of the RMA issuance date. Failure to return the products within this timeframe will result in the RMA being closed with no credit issued.
  • Configurator Note: The online configurator is a helpful tool, but final verification is the customer’s responsibility. Magnaloy Coupling Company assumes no liability for selections made using the configurator. Purchases made in error will follow the standard Stock Return process, and applicable fees may apply. For complex applications, we strongly recommend reviewing requirements with our engineering team prior to ordering.

  1. Rework Procedures
4.1 Customer-Requested Rework This applies when you request modifications to existing parts due to a design or specification change on customer end.

  • All shipping costs (both to and from Magnaloy) are your responsibility.
  • Magnaloy will provide a written quote for the rework.
  • Upon your written approval of the quote, the parts will be reworked and returned to you.
4.2 Magnaloy Quality Rework This applies when the rework is required due to an issue directly attributable to Magnaloy (e.g., manufacturing defect, print error, or dimensional error).

  • Magnaloy will cover standard return shipping costs, subject to the same limitations noted in Section 3 above.
  • All returned products will be inspected. If our responsibility is confirmed, the parts will be reworked in accordance with the agreed specifications and returned to you at no additional cost, as quickly as the production schedule allows.
4.3 Customer Site Rework This applies when the issue is attributable to Magnaloy, but the rework must occur “on-site” (e.g., manufacturing defect, print error, dimensional error, or tank leak).

You must provide:

  • Original purchase order (PO) number
  • Part number(s) and quantity
  • Clear photos or documentation of the issue

Options will be evaluated on a case-by-case basis, considering the nature of the issue, project timeline, and other relevant factors. Any work done on site by the customer or 3rd party must be approved by Magnaloy.  Any work done without Magnaloy approval will be completed at the customers’ expense no matter the nature of the issue. Additionally, no future warranty claims on reworked goods will be considered.  Available options may include:

  • Customer Charge-Back Rework
  • Third-Party Rework
  • Magnaloy On-Site Rework
